Finance Support Specialist

Position Overview: The Finance Support Specialist will support day-to-day bookkeeping and finance office tasks. Under the supervision of the CFO, the Finance Support Specialist will help enter transactions, maintain records, process invoices and payments, assist with reconciliations, and provide general administrative support.
Responsibilities:
- Enter transactions in QuickBooks timely and accurately, including invoices, payments, deposits, and approved journal entries.
- Assist with accounts payable and accounts receivable, including processing invoices, preparing payments, recording deposits, and maintaining supporting documentation.
- Maintain organized vendor, customer, payment, and financial records.
- Help prepare basic reports and information from QuickBooks for review by the CFO and leadership team.
- Assist with bank and credit card reconciliations, month-end close tasks, and maintain documentation needed by outside auditors and other stakeholders.
- Support preparation of materials for audits, tax filings, budget review, grant reporting, and Finance Committee meetings as assigned.
- Communicate with staff, vendors, volunteers, and outside partners to help gather information, resolve basic questions, and support timely financial processing.
- Provide general office support, including filing, data entry, and other administrative tasks.
- Follow established finance procedures and help keep records accurate, complete, and confidential.
- Participate in meetings, trainings, and events as needed. Engage with Habitat Buffalo’s programs and mission.
- Perform other bookkeeping and administrative duties as assigned.
Qualifications, Skills, and Experience
- High school diploma or equivalent required; bachelor’s degree, associate’s degree, or technical training in accounting, bookkeeping, business administration, or a related field strongly preferred.
- Some bookkeeping, accounting, finance, office, data entry, or administrative experience preferred; internships, coursework, volunteer experience, or related training will be considered.
- Basic understanding of accounting concepts, deposits, accounts payable/receivable, and reconciliations.
- Comfort using Microsoft Office, especially Excel; experience with QuickBooks or QuickBooks Online is preferred.
- Strong attention to detail, accuracy, organization, follow-through, and willingness to learn.
- Good verbal and written communication skills and the ability to work collaboratively and respectfully with staff, volunteers, vendors, and community members.
- Dependable, self-motivated, able to ask questions, follow instructions, meet deadlines, and handle confidential information appropriately.

- Ability to sit for extended periods while working at a computer.

Family Services Coordinator

Position Overview: The Family Services Coordinator supports the Director of Family Services in recruiting, processing, and onboarding program participants. This role guides participants through program requirements on their path to homeownership and maintains accurate records in SharePoint and Salesforce.
Responsibilities:
- Provide timely responses to all Homebuyer Program inquiries.
- Coordinate the receipt and processing of Homebuyer Program pre-applications.
- Ensure applicant information is accurate and record application data in Salesforce and SharePoint.
- Coordinate application intake meetings and follow-up meetings with potential Homebuyer Program participants.
- Coordinate the receipt and processing of completed Homebuyer Program applications.
- Coordinate program participant meetings, including Homebuyer Onboarding and Homeward Bound group meetings (kickoff and quarterly).
- Train and oversee volunteers in collecting and recording accurate monthly and quarterly participation data.
- Assist with completing applicant financial analyses.
- Support volunteers in providing timely program correspondence, including adverse action letters, acceptance information, and program updates.
- Coordinate home-buyer product selections with Homebuyer Program participants once matched with a home.
- Coordinate final walk-through inspections, appraisals, and House Dedication requirements.
- Coordinate with the Construction Manager to address repair and warranty issues.
- Attend Family Services Committee meetings and Program Work Groups as requested.
- Provide administrative support for home closings and grant and loan servicing requirements.
- Participate in outreach and tabling events as needed.
- Act as an ambassador to support the mission and values of Habitat for Humanity.
- Perform other related duties as assigned.
Qualifications, Skills, and Experience
- Associate degree in human services, business administration, nonprofit management, or related field required.
- Minimum of two years of experience in customer service, case coordination, program administration, housing services, or a related area required.
- An equivalent combination of education and relevant experience may be considered.
- Demonstrated ability to provide responsive, professional customer service to program participants and applicants.
- Proficiency in Microsoft Office applications; Salesforce and SharePoint experience is preferred.
- Strong interpersonal and communication skills, with the ability to work effectively with applicants, program participants, volunteers, colleagues, and community partners.
- Strong attention to detail and accuracy in maintaining applicant records, processing documentation, and entering data.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.

Position Overview: Habitat for Humanity Buffalo is seeking an experienced Construction Site Supervisor to lead day-to-day construction activities on Habitat build sites. This hands-on role oversees residential construction while leading and teaching volunteers and homebuyers with a wide range of experience. The Site Supervisor works closely with the Construction Manager to coordinate construction activities, maintain safe and productive job sites, and keep projects moving on schedule. This is an opportunity for an experienced construction professional who enjoys working with people and wants to use their skills to help build quality, affordable homes to serve the Buffalo area.
Responsibilities:
- Oversee day-to-day construction activities on assigned projects, ensuring work is completed safely, efficiently, and to established quality standards.
- Lead and work alongside volunteers, homebuyers, and other participants, providing construction instruction, safety guidance, and a positive on-site experience.
- Plan and coordinate daily construction activities, labor, materials, tools, equipment, and other resources needed to maintain project progress.
- Work with the Construction Manager to execute assigned projects in accordance with established scopes of work, schedules, budgets, and project priorities.
- Monitor construction progress and communicate regularly with the Construction Manager regarding schedule, materials, site conditions, quality, and other issues affecting project performance.
- Coordinate on-site contractors, deliveries, inspections, and other construction activities as needed.
- Maintain safe, clean, organized, and secure construction sites, including proper use and care of tools, equipment, materials, and assigned vehicles and technology.
- Maintain accurate and timely project, volunteer, and construction information using Habitat Buffalo’s established systems and technology.
- Coordinate with Volunteer Services and other departments to support volunteer scheduling, sponsored build days, homebuyer sweat equity, fundraising activities, and other organizational needs.
- Follow and enforce Habitat Buffalo safety policies, construction standards, and established procedures.
- Promote a positive and productive work environment for staff, volunteers, contractors, homebuyers, and community partners.
- Participate in meetings, trainings, and events as required.
- Act as an ambassador to support the mission and values of Habitat for Humanity.
- Perform other construction and site-related duties as assigned.
Qualifications, Skills, and Experience
- High School Diploma/GED strongly preferred
- 5+ years of residential construction or related experience strongly preferred
- Excellent verbal communication skills, particularly the ability to teach construction tasks to inexperienced volunteers and individuals with varying levels of construction knowledge
- Excellent organizational and time management skills
- Ability to plan and coordinate multiple construction activities and priorities
- Basic computer skills and ability to use technology for scheduling, communication, and project tracking
- Experience working with or supervising volunteers strongly preferred
- Current NYS Driver’s License
Physical Requirements: This position requires regular presence on active construction sites and the ability to walk over uneven terrain, stand and move for extended periods, climb stairs and ladders, and occasionally bend, crouch, kneel, and reach to observe and perform construction work. The role also requires the ability to lift and carry materials or equipment weighing up to 25-50 pounds, visually inspect work for quality and safety compliance, and communicate effectively in environments with elevated noise levels while wearing required personal protective equipment. Work may be performed outdoors in varying weather conditions. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions of this position.

Director of Development

Position Overview: This individual will support Habitat Buffalo in fulfilling its mission and meeting development goals by leading the organization’s fundraising and communications operations. This position will execute the organization’s fundraising strategy, manage donor systems, and oversee integrated campaigns that drive revenue growth.
Responsibilities:
Strategic Execution
- Translate organizational fundraising strategy into an annual development plan
- Align fundraising initiatives with communications and programmatic priorities
- Support implementation of multi-year revenue goals
Fundraising & Revenue Management
- Lead annual fund efforts, including amplification of Habitat for Humanity International (HFHI) campaigns
- Develop and manage mid-level donor portfolio ($1,000–$24,999)
- Oversee monthly giving program growth and retention
- Create and implement peer-to-peer and community fundraising models tied to build-site engagement
- Develop and manage a robust events revenue strategy, including partnerships with Habitat Young Professionals (HYP)
Corporate & Sponsorship Development
- Manage house sponsorship program
- Cultivate and steward corporate relationships
- Identify opportunities for long-term corporate engagement
Operations & Management
- Supervise two direct reports
- Oversee CRM strategy, data integrity, and policy/procedure development
- Manage development and communications budget
- Coordinate integrated fundraising campaigns (direct mail, digital, events)
- Track KPIs and report performance to the CEDO
Additional Responsibilities:
- Attend internal staff meetings and trainings as required/necessary
- Oversee volunteers who support this role
- Remain knowledgeable about Habitat for Humanity International (HFHI) programs, practices, and trainings; utilize HFHI resources and participate in HFHI and HNYS trainings as appropriate/necessary
- Follow and enforce Habitat Buffalo safety protocols
- Appropriately document company spending (must be approved by manager in advance)
- Attend relevant trainings, local and/or out of state, as required by the CEDO
- Promote a positive work atmosphere
- Is committed to demonstrating Habitat Buffalo’s core values
- Performs other tasks as requested by the Executive Director
Qualifications, Skills, and Experience
- Bachelor’s degree and 7-10 years of applicable work experience
- Data management experience (Salesforce preferred)
- Flexible schedule conducive to special events, campaigns, trainings, etc.
- Excellent interpersonal and communication skills, and demonstrated written skills
- Experience managing volunteers and staff
- Experience managing sponsorship contracts
- Excellent organizational and time management skills, attention to detail
- Works well both independently and in a team setting
- Responsible self-starter with team orientation
- Valid driver’s license
